INTERNSHIP PROGRAM REPORT
Druing 19 March - 15 May 2001
 

My name is Siriluck Wechsumangkalo. I am a student from the National Institute of Development Administration (NIDA). The internship program is a course which provides an opportunity for students to have work experience in different areas. I decided to be an intern at SEAMES because I believed that I would gain a lot of knowledge and experience from working in an intergovernmental organization.

My internship period was from 19 March to 15 May 2001. During the internship period, I was working in the Program and Marketing Department of the organization. I was under the supervision of Dr Kantatip Sinhaneti, the Information Officer.
 

Objectives

As an intern at SEAMES, my objectives are as follows.
 
• To learn how people work and communicate in an organization (organizational communication), especially in an intergovernmental organization.
• To gain experience from working in the area of interest (Education: Information).
• To apply the in-class knowledge to the real work (writing, reading, translating, etc.)
• To improve skills in both written and spoken English.
 
Job description

My main jobs include:
• Assisting the supervisor (Information Officer) and the organization in various projects
• Drafting press releases and letters
• Translating articles
• Filing pieces of news and press releases
• Doing other secretarial jobs
 
Apart from the tasks mentioned above, I was sometimes assigned to help other Officers and assist in other projects.
 
Task list

During the internship period at SEAMES, I usually worked in the office. But during 26 – 29 March 2001, there was the Education Congress held at Sofitel Central Plaza Hotel. So, I was also one of the staff working there.

In the office, I have experienced in many different tasks. These include:
 
• drafting press releases on the announcement of various projects of the organization both in English and Thai
• drafting various kinds of letters (mostly in English)
• translating articles (from English to Thai)
• proofreading papers
• attending meetings
•

filing pieces of news and press releases

• making a list of “the Education Congress” news published in newspapers  and broadcasted on air
• making a list of news reporters
• transcribe speech presented during the Education Congress
• making contact with external people by phone or email
• disseminating information via email
• coordinating with people in other departments for various purposes
• doing some typing
• copying and faxing documents
• tidying documents and things
 
During the Education Congress, my jobs include:
 
• assisting in the registration
• distributing and collecting paper slips from participants for questions and comments
• assisting in the parallel sessions
• facilitating the participants of the Congress
• doing other relevant jobs
 
Experience Gained

As an intern of SEAMES, I have gained a lot of experience from working in the organization. As my supervisor is the Information Officer, my jobs are mostly concerned of writing and translating. What I have done during my period of internship can be mainly described in the following.

I drafted many kinds of formal letters. Letters sent by organization are different from business letters. Letters sent to Ministers are also certainly different from those sent to directors or others. Letters sent via email are less formal. I have learned many expressions used in those kinds of letters. I have learned not only how to write them but also how they are processed in the organization before sending by mail to other organizations. And certainly, it helped me improve my English writing skill.

I learned how to write press releases both in English and in Thai.  They were mostly concerned with the announcements of the projects or programs of different centers of SEAMEO. These press releases were faxed to different newspapers in order to be publicized. In writing the announcements, I had to read for the needed information, then summarized it for English version, and finally translated it for Thai version. So, I helped me practice reading, writing and also translating skills.

Translation was also one of my jobs. I translated the reports or the articles from English to Thai. This is quite a good chance for me to practice translating skill. Another good point is that I could gain a lot of knowledge from those articles. For example, I learned new vision on education from the article about education in the Philippines. The articles translated are sometimes publicized in newspapers.

Moreover, my jobs were sometimes secretarial jobs. Although they were not concerned with my main tasks, I gained a lot of benefits from them. I learned how to work with or deal with both internal and external people. I had to coordinate with other departments in various things. This gave me some ideas about how people work or communicate in the organization. I many times had to make contact with other people outside the organization for various purposes.

Apart from those jobs mentioned above, one of the greatest experiences I gained is that I had an opportunity to be a little part of the 1st Education Congress held by SEAMEO. During the Congress, I met and communicate with many educators from both Asian and European countries. I was one of the staff at the registration desk. And, I was assigned to be a convenor assitant during the parallel sessions. Moreover, I was also one of the audience in the grand opening and closing ceremony.

In the organization, I could also improve my listening and speaking skills because I had to communicate with other Officers who are from foreign countries such as Indonesia, Philippines, and Malaysia.

In addition, since I started work here, my computer literacy has been much improved. This is because I had to use many programs at work including Microsoft Word, Microsoft Excel, and Microsoft Outlook.

In conclusion, the experience I gained directly from the jobs I had done includes both written and spoken language skills. Through those jobs, I also gained new knowledge and valuable experience which would be highly beneficial for my future career.
 

Summary

During the internship period at SEAMES, I was under the supervision of Dr Kantatip Sinhaneti, the Information Officer. My supervisor taught me lots of things by assigning me various kinds of tasks. These tasks mainly include drafting press releases, drafting letters, and translating. This was considered a great opportunity for me to practice my writing skill. My supervisor helped me improve the skill by correcting errors or mistakes I had done. She also gave me suggestion in various things. Through her jobs, I learned some details of how the information officer works in an organization. For all the experience I gained, I would like to express my appreciation to my supervisor for her kind supervision.

Working on various kinds of tasks allowed me to prove my work proficiency. And it allowed me to know my weak points at work for further improvement. I have found that learning by experience can really help improve my language skills. I could improve my English writing skill through the various writing tasks assigned by the supervisor.
 

Recommendations

Being an intern working at SEAMES for a period of two months allowed me to learn many things. So, I would like to recommend this organization for the internship program in the future. The organization provides an opportunity to students to broaden their horizons. When the internship program has been accomplished, the organization also awards certificates to the students. The certificates received from the organization would be an advantage for working in the future.

The interns at SEAMES will have full opportunity to improve their written and spoken English skills. This is because the documents used in the organization are mostly in English. And English is always used to communicate with the Officers who are from other countries.
